Freight and duty bills that arrive after the goods

Cost your stock the day it arrives, sell it straight away, and add the freight forwarder's or customs broker's bill weeks later. What Landara changes when you do, and what it leaves alone.

Your supplier's invoice and the stock usually arrive together, and you want to sell the stock that day. The freight forwarder and the customs broker are another matter: their bills can take three weeks. You do not have to wait for them. Cost the shipment now with what you have, and add the late bill when it turns up.

Cost now, add the freight later

  1. Upload the supplier's invoice (or create it from your purchase order) and cost the shipment. The stock gets its cost layers at the invoice price, and you can sell it straight away.
  2. When the freight or duty bill arrives, open the same shipment and add it. A shipment stays open for more bills until you tell Landara nothing else is coming.
  3. Recalculate. The freight is spread across the shipment's lines as before, and each cost layer takes its new landed cost.
  4. When nothing else is coming, choose No freight · Finalise on the invoice. The shipment then takes no more bills. You can reopen it if one still turns up.

There is no time limit. A shipment costed today can take its freight bill next month.

What changes when you recalculate

  • Each cost layer keeps its quantity and the date the stock arrived. Only its cost changes. Stock does not move in the FIFO queue behind anything that arrived later.
  • Stock you have already sold is re-costed too. Landara works out cost of goods sold from the cost layers every time, so sales from this shipment pick up the new cost. If you have already posted that month's COGS journal, the COGS page shows the difference and raises a correction journal for it in the current month. The posted journal is never changed.

You will be asked to confirm, and it is recorded

Three situations used to lock a shipment. They no longer do, because late freight is normal, but Landara tells you about each one before anything changes:

When you choose Accept and continue, the change goes ahead and is recorded against your name, with what you were told. If anyone later asks why a cost changed, that record answers it.

If you do not recalculate

If you cancel the confirmation, or the cost layers could not be updated, nothing changes: your stock keeps its earlier cost. So that you never mistake that for the final figure, the shipment is labelled Needs recalculating on the Shipments list and on the shipment itself, with what changed and when. Once you recalculate, the label goes, and a shipment whose cost changed after it was first costed shows Recosted with the date.

A supplier's bill that has already been published to Xero or QuickBooks stays exactly as it is. Adding freight changes the landed cost of your stock, not the supplier's prices, so nothing in your books needs republishing. The freight or duty bill is published on its own.

Several supplier invoices on one shipment

If a container carries goods from several invoices, put them all on one shipment. A freight or duty bill added to the shipment is shared across every invoice's lines by the method you choose, and each invoice keeps its own bill. Shipping that a supplier printed on its own invoice is different: it stays with that invoice's products, because it is what that supplier charged to get its goods to you.
