Reconciliation alerts explained

Every alert Landara shows about unjournalled COGS, adjustments, drift, and stock that does not match, what each one means, and where to fix it.

Landara surfaces reconciliation problems as alerts on the page where you would act on them, rather than in a separate inbox. This page lists every alert you might meet, what it means, and which guide covers the fix.

Two things are true of all of them:

  • Alerts are computed live from your ledger. Nothing is stored and nothing needs dismissing: fix the cause and the alert clears on its own next load.
  • No alert ever writes anything. Every adjustment and journal in Landara comes from an explicit action you confirm.

On the COGS report

"$X not yet journalled"

The blue card. Your period's COGS and what has actually reached your books have diverged, usually because new movements arrived after you last posted. It appears only once they differ, and shows the age of the oldest outstanding movement when it passes a week, because cost sitting unjournalled for months usually means something arrived after the period was closed.

Action: Review & post journal. Posting again books only the outstanding movements, never the ones already journalled. See post a COGS journal.

"Inventory adjustments this period"

The grey card. Stock written off, found, or counted differently at a stocktake this period, shown net (losses less anything found, so a reassignment between SKUs nets to zero). This is a separate journal (Dr Inventory Adjustment / Cr Inventory) and is not part of sales COGS.

Action: a committed stocktake records its variance here but does not book it, so open the stocktake and use Post shrinkage journal. Adjustments applied on the Reconcile page have no journal button yet, so book those by hand.

"N units sold at a cost of nothing"

Units were sold from a cost layer that exists but holds a cost of zero, so the report looks complete while your margin is overstated. This is the normal result of seeding opening layers from Shopify when its Cost per item field was empty.

Action: fill in the real costs on the Cost Layers page; sales already shipped are re-costed automatically. See sales that cost nothing.

"The cost basis changed after this period was journalled"

The orange banner. The units in a posted journal did not move, but what they cost changed afterwards: a shipment was re-synced, a landed cost corrected, or a layer's cost edited. The books hold a figure the ledger no longer produces.

Action: raise a correction journal for the difference shown. Never post the period again, which would double the units. See the journal your accountant posts.

Rows flagged "uncosted"

A sale drew on stock Landara had no cost layer for, so it was costed at the last known unit cost and flagged. Usually the receipt has not been recorded yet.

Action: add the missing layer from the PO or supplier invoice, or record an adjustment on Reconcile, then re-run the report. See my inventory account does not match.

On the Reconcile page

"No cost baseline yet"

Every SKU shows as a receipt because Landara has no opening layers to compare against, so the deltas are not real drift.

Action: run Sync opening stock first. See seed cost layers.

The delta rows themselves

Each row is an unexplained difference between Shopify's on-hand and Landara's position. A delta is a finding to investigate before it is an adjustment to book: a delivery belongs on Cost Layers as a PO import, a move between locations belongs in the transfer pairing, and only genuine shrinkage or found stock should be applied as an adjustment. On the Valuation page

The variance against your books

Landara's on-hand value and your accounting software's Inventory balance disagree. A large, stable difference dating back to when you started is your opening difference; a recent one usually traces to an unpublished bill, an unposted journal, or a draft journal never approved in Xero.

Action: work through my inventory account does not match, which covers every cause in order.

"Landara picked an inventory account for you"

The amber notice. The comparison is being measured against a guessed account, so everything beneath it is provisional.

Action: set Inventory before Landara under Settings → Connections → Configure Tax Codes. See inventory valuation.
