Connect Xero
Connect Xero to publish bills and purchase orders, post COGS journals, and map your tax and GL codes.
Updated 4 August 2026
Connect Xero to push documents and journals into your books: publish supplier bills and purchase orders with the original PDF attached, and post COGS or revaluation journals. Landara is the source of truth for your import documents. We create records in Xero, we don't pull your accounting data in.
Connect your Xero organisation
- Go to Dashboard → Settings → Connections.
- Click Connect Xero.
- Sign in to Xero and choose the organisation to connect.
- Approve access. You'll return to Landara with Xero connected.

Landara sets up your accounts for you
As soon as you approve access, Landara shows you the four accounts it wants to add to your Xero organisation, and adds them when you confirm:
| Account | Type | What it holds |
|---|---|---|
| Landara Inventory | Current Asset | Stock at landed cost. Debited by published bills, credited by the COGS journal |
| Landara Cost of Goods Sold | Direct Costs | Cost released to the profit and loss as stock sells |
| Landara Inventory Adjustment | Direct Costs | Write-downs and revaluations of stock still on hand |
| Landara Stock Shrinkage | Direct Costs | Stocktake losses: counted less than the ledger expected |
They start at zero, and Landara maps itself to them straight away, so there is nothing to configure before you publish your first bill.
This exists because "which account should freight post to?" has a correct answer you cannot reasonably be expected to know, and every wrong answer is silent. When Landara owns the accounts, the question disappears and their balances are Landara's numbers, which makes them easy to check against your own.
Two accounts are never created, because creating them would be actively wrong:
- Recoverable import tax posts to your existing GST account, the one your activity statement reads. A fresh Landara GST account would sit outside the BAS and the credit would never be claimed.
- The opening balance offset uses your file's own conversion account, Xero's Historical Adjustment.
If you already have stock, one job is left and it is your accountant's. Your stock value is still in your old inventory account, so until it is journalled across, your balance sheet shows that stock in two places. Landara works out the figure and emails it to you with the detail to forward on. It never posts that journal itself, because it is a real entry against your books at a date you and your accountant choose. See The journal your accountant posts.
Prefer to use your own chart of accounts? Nothing is locked. Every mapping Landara sets is editable afterwards under Settings → Connections → Configure Tax Codes, using the reference below.
Configure tax and GL codes
Most organisations never need this, because the step above has already done it. Use it to change where something posts, or if you are mapping onto accounts you already had.
- In Settings → Connections, open Configure Tax Codes on the Xero card.
- Landara fetches your live Xero tax rates and chart of accounts.
- Map each category (products, freight, duty, insurance, clearance, other) to a tax rate and a GL account.
- In the same screen, set your journal accounts: Cost of Goods Sold, Inventory, Inventory adjustment, Shrinkage, Opening balance offset, and Inventory before Landara (usually your existing 630 Inventory, which Landara reads but never posts to).
- Save. These mappings apply whenever you publish or post a journal to Xero.
Only relevant if you are mapping onto your own accounts. Xero's default chart has an Inventory account and a Cost of Goods Sold account, but nothing suitable for inventory adjustments or shrinkage, so create those in Xero first and click Refresh accounts to pull them in without losing your place. Map your tax and GL accounts walks through it. If you let Landara add its own accounts, all four already exist.
Start supplier names as you type them. Landara searches your existing Xero contacts so you don't create duplicates when a bill is published.
What you can publish
- Bills from extracted supplier/freight invoices, with the source PDF attached.
- Purchase orders from extracted PO documents.
- Manual journals for COGS and inventory revaluation (see Post a COGS journal).
Keeping the connection alive
Landara refreshes your Xero token automatically while you use the app. If you see Reconnect required, the refresh token has expired (Xero expires them after 60 days of non-use) or access was revoked in Xero. Just click Reconnect in Settings → Connections.
