Connect QuickBooks Online

Connect QuickBooks Online to publish bills and purchase orders, post COGS journals, and map your tax and GL codes.

Connect QuickBooks Online (QBO) to push documents and journals into your books: publish supplier bills and purchase orders with the original document attached, and post COGS or revaluation journals. As with Xero, Landara creates records in QBO. It doesn't pull your accounting data in.

Connect your QBO company

  1. Go to Dashboard → Settings → Connections.
  2. Click Connect QuickBooks Online.
  3. Sign in to Intuit and choose the company to connect.
  4. Approve access. You'll return to Landara with QBO connected.

Landara sets up your accounts for you

As soon as you approve access, Landara shows you the four accounts it wants to add to your QuickBooks company, and adds them when you confirm:

They start at zero, and Landara maps itself to them straight away, so there is nothing to configure before you publish your first bill.

This exists because "which account should freight post to?" has a correct answer you cannot reasonably be expected to know, and every wrong answer is silent. When Landara owns the accounts, the question disappears and their balances are Landara's numbers.

Two accounts are never created, because creating them would be actively wrong: recoverable import tax posts to your existing GST payable account so the credit still reaches your return, and the opening balance offset uses your company's own Opening Balance Equity.

If you already have stock, one job is left and it is your accountant's. Your stock value is still in your old inventory account, so until it is journalled across, your balance sheet shows that stock in two places. Landara works out the figure and emails it to you with the detail to forward on. It never posts that journal itself, because it is a real entry against your books at a date you and your accountant choose. See The journal your accountant posts.

Prefer to use your own accounts? Nothing is locked. Every mapping Landara sets is editable afterwards under Settings → Connections → Configure Tax Codes.

Configure tax and GL codes

Most companies never need this, because the step above has already done it. Use it to change where something posts, or if you are mapping onto accounts you already had.

  1. In Settings → Connections, open Configure Tax Codes on the QBO card.
  2. Landara fetches your live QBO tax codes and accounts.
  3. Map each category (products, freight, duty, insurance, clearance, other) to a tax code and account.
  4. In the same screen, set your journal accounts: Cost of Goods Sold, Inventory, Inventory adjustment, Shrinkage, Opening balance offset, and Inventory before Landara, which is the account your stock value sits in today. Landara reads that last one and never posts to it.
  5. Save. These mappings apply whenever you publish to QBO or post a journal.

Do not skip Inventory before Landara. It is what your opening difference is measured against, and until it is set Landara will not let you accept one. Map your accounts covers all six slots.

QBO uses tax codes and account IDs, which differ from Xero's tax types and account codes. Landara handles the difference. You just pick from your live QBO lists.

What you can publish

  • Bills from extracted supplier/freight invoices, with the source document attached.
  • Purchase orders from extracted PO documents.
  • Journal entries for COGS and inventory revaluation (see Post a COGS journal).

Keeping the connection alive

Landara refreshes your QBO access token automatically. QBO refresh tokens expire after about 100 days of non-use; if you see Reconnect required, click Reconnect in Settings → Connections.

Vendor names autocomplete against your existing QBO vendors as you type, so publishing a bill won't create a duplicate vendor.
